How the estimate works
The calculator converts weekly work time and non-client time into monthly hours using 4.33 weeks per month. It applies your chosen buffer to the remaining delivery capacity, then divides that capacity by the monthly workload you entered for one representative client.
Use the output as a planning limit. Recalculate when client scope, approval cycles, content volume or your tracked hours change.
What belongs in client workload
Include work that belongs to the retainer, such as planning, production, approvals, publishing, community management, reporting, meetings and revisions. Put general business work in non-client hours.
FAQ
How many clients can a freelance social media manager handle?
Capacity depends on the delivery hours each client consumes and the time available in your week. Platform count, production load, approvals, reporting, community work and revisions can change the result substantially.
What should count as non-client time?
Include work that consumes your week without belonging to a specific retainer, such as sales, bookkeeping, internal admin, learning and business operations.
Why keep a capacity buffer?
A buffer leaves room for revisions, urgent requests, uneven weeks and estimation error. Set the percentage as your own planning assumption.
Should I use estimated or tracked client hours?
Tracked hours give you stronger inputs once you have them. With estimates, use a conservative monthly figure and rerun the calculation after you collect delivery data.
